About Payroll Calculator Kenya

A Kenyan payroll calculation has two related results: the employee's net salary and the employer payroll cost. Net salary starts with gross pay and subtracts employee PAYE, SHIF, NSSF and Affordable Housing Levy. Employer payroll cost starts with gross salary and adds statutory employer contributions. The calculator above estimates the employee side of payroll. It shows how gross salary becomes take-home pay. The worked example below adds the employer side: employer NSSF, the employer Affordable Housing Levy and the applicable NITA levy. Payroll can differ where an employee has taxable benefits, pension contributions, insurance relief, disability exemption, loans, salary advances or other adjustments. Employers should also confirm current statutory rules and filing obligations before processing payroll. For recurring payroll, the PAYE Calculator Kenya workspace lets an employer maintain employee records, calculate monthly payroll and create payslips. This public calculator is useful for a quick estimate; it does not replace payroll records or statutory returns.

Frequently Asked Questions

What does a payroll calculator in Kenya calculate?

It estimates employee deductions such as PAYE, SHIF, NSSF and Housing Levy, net salary, and the statutory employer contributions that affect total payroll cost.

How to Calculate Payroll in Kenya

Kenyan payroll separates deductions withheld from an employee's gross salary from statutory contributions paid by the employer. Follow these steps to calculate both take-home pay and the employer's total payroll cost.

  1. 1. Confirm gross pay and taxable benefits

Start with the employee's monthly gross salary and add any taxable employment benefits.

  2. 2. Calculate employee statutory deductions

Calculate employee NSSF, SHIF and Housing Levy, then apply the PAYE bands and eligible relief.

  3. 3. Calculate the employee's net pay

Subtract PAYE, SHIF, employee NSSF and employee Housing Levy from gross salary.

  4. 4. Add employer statutory contributions

Calculate the employer NSSF contribution, employer Housing Levy and applicable NITA levy separately from employee deductions.

  5. 5. Confirm total employer payroll cost

Add gross salary and employer statutory contributions. Do not add employee deductions again because they are withheld from gross pay.
